International business travel: a well-organised traveller document pack is a crucial resource

16 May 2025

Where international business travel is essential, a well-organised traveller document pack can serve as a crucial resource in ensuring the health, safety, and well-being of those travelling on behalf of your organisation.

Despite modern technology reducing the necessity of international business travel, it continues to be an integral part of the operations of many organisations. As the risks associated with each region can vary in nature and severity, it is important that travellers have access to all the relevant risk and control measure information throughout the duration of their time overseas.

A traveller document pack groups these details together into a readily accessible resource for the use of the traveller(s), and those within the organisation responsible for overseeing the business trip.

Key resources to be included in a traveller document pack include:

  • A full review of the region, noting all key social, political, economic and environmental risks.
  • Details of all risk control measures arising from the risk assessment.
  • Detailed information of all incident and emergency response plans.
  • Contact information for travel managers, local emergency services, security agencies, local authorities, embassies and consulates.
  • Key medical information including vaccination records and medical cards.
  • Copies of travel documentation such as visas, passports and driving licences.
  • Insurance policies and claims contact information.

To help organisations in identifying and controlling the risks associated with foreign travel, Griffiths & Armour has published new International Travel guidance. This details the key actions for safeguarding travellers along with practical resources to minimise the risks associated with foreign travel.

The guidance is available within RMworksGriffiths & Armour’s online risk management portal available to all clients. Further information on RMworks is available here. If you have any questions about the contents of this article, please get in touch.
